Someone fills in your Facebook ad form at 9:40pm. Your team sees it at 10am the next day and calls. By then they've already booked with whoever replied first.
Most businesses don't have a lead problem. They have a follow-up problem, and it's one of the easiest things to fix with automation.
Why speed beats the perfect message
When someone submits a form, you have their attention for a few minutes. A short, helpful reply in that window gets answered. A beautifully written email the next afternoon gets ignored, because they've moved on.
The flow I'd build
- 1Lead comes in from a form or ad
- 2Personal text within 60 seconds
- 3Two quick qualifying questions
- 4They pick a time in your calendar
- 5CRM updated with the whole conversation
Your team only talks to people who replied, qualified and chose a time themselves. That changes how a sales day feels.
Qualifying without interrogating
People love asking budget, timeline, decision-maker, company size and more. Don't. Ask only the questions that change what you'd do next. For a renovation company that might be "Which room?" and "When are you hoping to start?". Everything else can wait for the call.
The follow-up cadence
- Minute 1: the first reply, mentioning what they asked about.
- Same day: a short nudge if there's no answer.
- Next day: one more, with an easy yes/no question.
- Day 2: a last message, then the lead is flagged for a person to decide.
Making it sound like a person
| Bot | Person |
|---|---|
| "Thank you for your enquiry. A representative will contact you shortly." | "Hi Priya, thanks for asking about the kitchen redo. Are you thinking this month or later in the year?" |
| "Please let us know if you have any questions." | "Would Thursday or Friday work better for a quick call?" |
n8n or custom code?
People ask me this a lot. If the flow is a straight line (form, text, calendar, CRM), a tool like n8n is perfectly fine and easy for your team to change. Once the logic gets more involved, with real conversations, scoring and several channels, I write it as code. It's easier to test and doesn't break silently.
Questions people ask me
Will it work with my CRM?
Almost certainly. HubSpot, Zoho, Pipedrive and Google Sheets are all straightforward. If yours has an API, it can be connected.
What if someone asks something the AI can't answer?
It says a person will get back to them, and it alerts your team right away.
