AI agent teams: when one assistant isn't enough

What an 'AI agent team' really is, a few setups that work in practice, why every team needs an approval queue, and when you're better off with one agent.

"AI agent team" sounds like science fiction. In practice it's simple: instead of one assistant trying to do everything, you have a few, each with one job, passing work to the next. Like a small team, except it doesn't sleep.

It's also overused. Plenty of businesses that ask me for an agent team need one well-built agent. Here's how I tell the difference.

Three setups that work

Content: research, then draft, then edit.

  1. 1Researcher finds angles and sources
  2. 2Writer drafts in your house voice
  3. 3Editor tightens and checks tone
  4. 4You approve

Social media: a scout finds what's working in your niche, a producer turns it into posts or videos, and an analyst tracks what performed and feeds that into next week's briefs.

Recruiting: sourcing finds candidates, research builds a short profile of each, outreach sends personal messages, and admin handles scheduling and the CRM.

Why split the work at all?

When one agent is enough

If the task is one step (answering calls, replying to leads, summarising documents), one good agent with clear rules beats a team every time. Teams add cost, more places to break, and more for someone to maintain. I'd only split when you can point to the step where a single agent keeps getting it wrong.

The feedback loop

The best setups learn. An analyst agent looks at what got approved, edited or rejected and what performed well, then updates the instructions for the next round. After a few weeks you edit less, because the system has learned what you keep changing.

Questions people ask me

Where does an agent team run?

Usually on a small cloud server, connected to Slack, Discord or a simple dashboard where you see the queue.

Will it replace my team?

In my experience it removes the repetitive parts of their week, research, first drafts and admin, so they spend more time on work that needs judgement.
