Missed calls are lost customers. Here's the simple fix.

A five-step system to follow up on every missed call automatically, keep your number, and see exactly what it's worth.

The first thing I ask any clinic owner is: how many calls did you miss last week? Almost nobody knows. And most new callers who don't get through don't leave a voicemail. They just call the next name on the list.

Before anyone builds an AI receptionist, I'd set up something much simpler. It takes a day, keeps your number, and tells you what the problem is actually costing you.

Step 1: Find out how many calls you miss

Pull your call log for the last two weeks. Your phone or provider can export it. Remove spam and existing customers. What's left is your real number, and it's usually bigger than people expect.

Step 2: Reply within a minute

As soon as a call goes unanswered, send a text or WhatsApp message. Speed matters more than wording, but wording still matters:

Don't sendSend
"Thank you for contacting us. Your call is important to us.""Hi, sorry we missed you at Smile Dental. Want to book? Here's the link, or just reply and we'll call you back."

One clear next step. No corporate phrases. If you're in India, WhatsApp usually gets far more replies than SMS.

Step 3: Alert a person

The text buys you time. It doesn't close the booking. Send the caller's number and any reply to whoever handles bookings, ideally in the app they already check all day.

Step 4: Follow up once more

If there's no reply in a few hours, send one gentle follow-up. That's it. Three messages to someone who called once starts to feel like spam.

Step 5: Count it

Each month, look at three numbers:

  1. 1Missed calls
  2. 2Replies to the text
  3. 3Bookings from those replies

Multiply the bookings by what a new customer is worth to you. Now you know exactly what the system earns, and whether a full AI receptionist is worth adding on top.

Questions people ask me

Do I need a new phone number?

No. Forwarding on no-answer or busy is enough in almost every case.

Won't people find the text annoying?

Not if it goes to someone who just called you, and you stop after one follow-up. They called you first.
