A new client signs. Great. Now someone spends the afternoon sending a welcome email, asking for documents, creating folders, setting up billing and trying to find a kickoff time that works. Multiply that by every new client, and senior people end up doing admin instead of the work they're paid for.
What happens when a client signs
- 1Contract signed
- 2Welcome email in your voice
- 3Secure link to upload documents
- 4Folders created with the right access
- 5Invoice and billing set up
- 6Kickoff call booked
One trigger, usually the signed contract or the first payment, starts the whole chain. Your team gets a message when it's done, and the client gets a smooth first day with you.
Where AI actually helps
To be honest, most of the flow above is ordinary automation: if this happens, do that. AI earns its place in three spots:
- Reading what clients upload. Is this actually last year's bank statement, or the wrong file? Is the GST certificate there?
- Chasing what's missing. A friendly reminder that names the exact document that's still missing, not a generic "please upload your documents".
- Writing the welcome. Personalised to the client's industry and what they signed up for.
Start with your checklist
Before building anything, write down every step your team does today for a new client, in order, including the small stuff like "add them to the WhatsApp group". That list becomes the spec. It almost always turns up a few steps people do differently from each other, which is worth fixing anyway.
Questions people ask me
Which tools does this work with?
Common ones: Google Drive or OneDrive, Zoho Books or Xero, Calendly or Cal.com, Gmail or Outlook, and most CRMs.
What if a client is different from the usual?
The system handles the standard path and flags anything unusual for a person, so it doesn't push a client down the wrong path.
This is the kind of thing we build under custom AI builds.
