6 repetitive tasks every small business should hand to AI first

Where to start with AI in a small business: six repetitive tasks that are easy to automate, low-risk and quick to pay off, plus how to pick your first one.

The best first AI project is rarely the most impressive one. It's the task your team repeats every week, that follows clear rules, and that nobody will miss doing.

Here are the six I see pay off fastest, roughly in the order I'd try them.

1. Replying to new enquiries

A personal reply within a minute to every form, email or DM, answering the obvious question and offering a time to talk. This alone recovers leads that would have gone quiet. (How to set it up.)

2. Following up on missed calls

An instant text or WhatsApp to anyone you couldn't answer, so they don't call a competitor. (The five-step version.)

3. Copying data between tools

Details from emails, forms, PDFs and invoices into your CRM, accounting software or sheet. AI handles messy, inconsistent inputs far better than older automation tools.

4. The weekly report

Numbers from sales, ads, bookings and your CRM pulled into one short summary every Monday, with a few lines on what changed and why it might matter. If you have several locations, this is often the biggest time-saver of all.

5. Replying to reviews

A draft reply to every review in your voice, so you just approve it. At Cube I built an AI agent that did exactly this for brands: it replied in each brand's voice and surfaced what customers kept complaining about.

6. Onboarding new clients

Welcome email, document requests, folders, billing and the kickoff call, all set up when the client signs. (How it works.)

How to pick yours

  1. Write down every task your team does more than once a week.
  2. Circle the ones with clear rules and low risk if a draft needs editing.
  3. Pick the one that eats the most hours.
  4. Automate it, measure the time saved for a month, then do the next.
